Hummingbird PC DOCS to FileNet Image Services Data Conversion

The Client

As one of the largest diversified financial services companies in the United States, Wells Fargo has over 3,000 banking stores in 23 states. For one hundred and fifty years, Wells Fargo has been concentrating on building solid customer relationships through quality service and support. They have received accolades from Fortune and Global Finance magazines, as being one of the 40 most admired companies and as the best, safest bank in the U.S. Wells Fargo manages over $300 billion in assets and employs 120,000 team members.

The Challenge

To address the inherent complexity of a banking document management system, Wells Fargo chose FileNet as their solution. However, the recently acquired BBG-Boise Commercial Loans department was still using Hummingbird's PC DOCS for managing documents, so Wells Fargo decided to convert the data to remain consistent and efficient in their corporate document management.
All of the PC DOCS data needed to be converted while ensuring that normal business functions continued undisturbed. Since the two different systems had very different architectures for their back end server components, this project required an outside vendor with the skills to convert them to FileNet.

The Solution

Wells Fargo worked with Integral Data Solutions to port their PC DOCS data to the new FileNet environment. Knowing that a successful project completion within the timeframe would require a coordinated strategy, Integral created a project plan for data conversion.
The first step was to create a comprehensive mapping document, which paired fields from the old PC DOCS system to the new FileNet environment. Integral then extracted data from the PC DOCS system for analysis. Next, Integral used their custom export application to export the data into a neutral format, using logic from the mapping document, to prepare the data for the import engine.
To finalize the conversion, Integral used their proprietary Bulk Loader application to import the exported PC DOCS data into the FileNet system.
To track any discrepancies between the PC DOCS and FileNet formats, Integral created a control process and audit trail.
The processes noted any discrepancies between the old and new systems. Detailed reports ensured all data was converted correctly and provided a tracking list to monitor the update.

The Result

With Integral�s project management skills and proprietary conversion tools, Wells Fargo achieved the goal of successfully converting the previous PC DOCS versions of documents to the new FileNet format.
